1Who We Are

Media Cleanup ("we", "us", "our") is a Shopify application that helps merchants identify unused media files, manage storage, and generate AI-powered alt text. This Privacy Policy applies to the Media Cleanup application available at apps.shopify.com/media-cleanup and our website at mediacleanupapp.in.

2Information We Collect

We collect the minimum information necessary to provide the Media Cleanup service. Here is what we access:

Information from your Shopify store:

• Store metadata — your store's name, domain, and Shopify plan (to determine feature eligibility)
• Media file metadata — file names, sizes, types, URLs, and alt text of files in your Shopify media library
• Content association data — which media files are used by which products, collections, blog posts, pages, and theme settings (we read this to determine "unused" status)
• Shopify access token — an OAuth token granted by Shopify, used to query the Shopify Admin API on your behalf

Information you provide directly:

• Support communications — any messages or emails you send to our support team

Automatically collected information:

• Usage data — feature usage patterns, scan counts, and in-app actions (used to improve the product)
• Log data — IP addresses, browser type, access times, and error logs for debugging and security purposes

We do not collect or store the actual binary content of your media files. We only process metadata and URLs.

3How We Use Your Information

We use the information collected solely to deliver and improve the Media Cleanup service:

• Providing core functionality — scanning your media library, detecting unused files, powering bulk operations, and managing your trash bin
• AI alt text generation — when you request alt text generation, we send image URLs to an AI provider to generate descriptive text. We do not retain these images beyond the duration of the API call.
• Billing & subscriptions — processing your subscription through Shopify's billing API (we do not handle payment card data directly)
• Product improvement — aggregated, anonymised usage analytics to understand which features are most valuable
• Customer support — responding to your inquiries and resolving issues
• Security & fraud prevention — detecting and preventing unauthorized access or misuse

We will never sell your data, use it for advertising, or share it with third parties for their own marketing purposes.

4Data Sharing & Third Parties

We share data only with the limited set of third-party services required to operate Media Cleanup:

• Shopify Inc. — the platform on which Media Cleanup operates. Your store data exists within Shopify's infrastructure and is accessed via their API under their Privacy Policy.
• AI provider (for alt text) — image URLs are sent to an AI inference API for alt text generation. The provider processes the image for inference only and does not retain the data.
• Hosting & infrastructure — we use cloud infrastructure providers to host the application. These providers have contractual obligations to protect your data.
• Analytics — we use Google Analytics (anonymised) to understand website traffic. No personally identifiable information is included. See Section 8 for details.

We may disclose your information if required by law, court order, or to protect the rights and safety of our users, as required by applicable law.

5Data Retention

We retain your data for as long as your store has Media Cleanup installed, plus a brief period afterward for legal compliance purposes:

• Active installations — store metadata and scan results are retained while the app is installed
• After uninstallation — we delete your store data within 30 days of app uninstallation
• Trash bin — files in the trash bin are retained for up to 30 days per the Pro plan terms, then permanently deleted
• Support communications — retained for up to 2 years for quality and compliance purposes
• Aggregated analytics — anonymised aggregate data may be retained indefinitely

You may request earlier deletion of your data at any time by contacting us at team@mediacleanupapp.in.

6Security

We take the security of your data seriously and implement industry-standard measures:

• All data is transmitted over TLS/HTTPS encryption
• Shopify OAuth tokens are stored encrypted at rest
• Access to production systems is restricted to authorised personnel only
• We perform regular security reviews of our infrastructure
• We do not log or store sensitive Shopify credentials beyond what is necessary

No system is 100% secure. If you believe your account has been compromised, please contact us immediately at team@mediacleanupapp.in.

7Your Rights

Depending on your location, you may have the following rights regarding your personal data:

• Access — request a copy of the data we hold about your store
• Correction — request that inaccurate data be corrected
• Deletion — request deletion of your data ("right to be forgotten")
• Portability — request your data in a machine-readable format
• Restriction — request that we restrict processing of your data
• Objection — object to certain types of processing

To exercise any of these rights, please contact us at team@mediacleanupapp.in. We will respond within 30 days. If you are in the EU/EEA, you also have the right to lodge a complaint with your local data protection authority.

8Cookies & Analytics

Our marketing website (mediacleanupapp.in) uses cookies and analytics tools:

• Essential cookies — session cookies required for the app to function. These cannot be disabled.
• Google Analytics — we use Google Analytics with IP anonymisation enabled to understand aggregate website traffic. Google Analytics sets cookies to distinguish users and count sessions. You can opt out using the Google Analytics Opt-out Browser Add-on.

The Media Cleanup Shopify app itself operates within the Shopify admin and does not set cookies on your storefront or customer-facing pages.

9Shopify & App Store

Media Cleanup is distributed through the Shopify App Store and is bound by Shopify's Partner Program Agreement and API Terms of Service. By installing Media Cleanup, you also agree to Shopify's Privacy Policy as it applies to your store data.

Shopify may independently collect data about your use of the App Store. Please refer to Shopify's own privacy documentation for details on their practices.

10Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will:

• Update the "Last updated" date at the top of this page
• Notify active merchants via in-app notice or email for significant changes

Continued use of Media Cleanup after changes become effective constitutes acceptance of the updated policy. We encourage you to review this page periodically.
